Cases

The shared record of one job. Photos, files, notes, and history stay on it.

What it is

A case is the long-term record of a job: a repair, an inspection, a handover, a complaint, or an insurance file. Everyone in the organization can open cases. Tasks are different: a task is visible only to the creator and the people it is assigned to.

Where to find it

Web: Cases. Create one with New case. The mobile app is where field photos are taken into that case.

How it works

Give the case a title you will search for later, a short description, and a folder. The description is for context the photos do not show: the site, the customer, the fault, or what still has to be documented.

You can assign responsible people or groups, and add subscribers who should hear about new media. If the job already needs action, create the first task in the same step. Details can be edited after the case exists.

The list shows title, status, creator, date, and thumbnails. Filters switch between your cases and the wider list, and between open and closed cases.

Good to know

A normal case holds up to 200 media items. A collector case holds up to 1,000 and is for bulk intake over time. See Collector cases.
